AI Tip: The free Google tool that only answers from your supplier documents

Ask the cruise contract a question, get the exact line back.

If I've learned one thing by working with AI tools and building AI apps over the last few years it's that in AI, choosing the right tool for the job is essential. 

Let's talk about details: Contracts, terms and conditions, detailed descriptions, etc.

Ask ChatGPT what the cancellation penalty is at 60 days out on a group contract and it will give you an answer. That answer could be pulled straight from the contract you pasted in, or it maybe, it could be a close guess filled in from something similar the model was trained on a year ago by OpenAI. There is no way to check which one you got without doing the lookup yourself (which sort of defeats the point).

Enter Gemini Notebook

This notebook tool from Googleis built so it cannot do that. You load the documents, and every answer comes back with a citation you can click to jump to the exact line inside your own source. Ask it something your documents do not cover and it tells you it is not in there.

That ability to not know matters most on supplier paperwork lile 40-page terms, tour operator contracts, resort fact sheets. Places where a wrong number costs you money or a client a very bad day.

One heads-up: Google renamed NotebookLM to Gemini Notebook on July 16. The new name and logo are rolling out over the next few weeks, so you may still see the old one for a while. Same product, and old links still work.

Cost: free with any Google account. The free tier gives you 100 notebooks, 50 sources in each, and 50 questions a day — probably more than you will use.

Try this today

Go to notebooklm.google.com, make one notebook for your busiest supplier, and add three files:

1. The terms and conditions

2. The current promo flyer, and

3. The resort or ship fleet fact sheet.

Then ask it the question you look up most: "What is the cancellation penalty at 90, 60, and 30 days out, and does it change by cabin category?" Click the citation it gives you and read the line it pulled from to quickly confirm.
