How to Properly Structure Your Travel Business Processes and Systems
“I just know what to do.”
If you, the travel advisor, has ever tried to explain how you handle a client inquiry, prepare a proposal, or follow up after a trip to someone else, you may have found yourself saying something like that.
And you probably do know what to do, but the act of explaining it to someone often reveals how many steps, decisions, and reminders actually live entirely in your head or require you to manually push them forward. Automating your business sounds great in theory, but just how in the heck do you actually do it?
Last week, I challenged everyone to identify your weakest business system and choose one manageable process inside it to improve. If you missed that message or want a refresher, you can read it here.
This week, I've put together a tool to help you actually take the next step: the Business Systems Process Mapper prompt.
A prompt is simply a set of instructions you give an AI assistant, and this one turns your favorite AI into an interviewer who helps you document how a piece of work actually gets done in your business.
It asks two or three questions at a time, listens to your answers, and follows up where more detail is needed. Together, you work through what starts the process, what happens next, which decisions you make, and how you know you’re finished.
Why start here?
Because “I follow up with prospects” sounds like a process until someone asks:
When? Where do you keep track of them? What happens if they don’t respond? When do you stop following up?
The interview helps you get all of the important details out of your head and onto a page, and once they’re written down, optimizing your process becomes a heck of a lot easier. The interview also helps distinguish what you actually do from what you intend to do. As we all know too well, those are definitely not the same thing.
Here’s how to use it.
- Choose one recurring piece of work. Start with something small, such as responding to a new inquiry or checking in after a client returns home. “Manage my entire client experience” is way too broad.
- Copy the full prompt into a new conversation with your favorite AI assistant. Tell it which process you want to document. If you know whether it belongs to your Sales, Marketing, Service, Knowledge, or Management System, include that too. If you’re unsure, it will help you choose.
- Answer the interview questions honestly. Describe what happens today, including the workarounds, forgotten steps, and “it depends” situations. If you’re struggling to explain, it’s helpful to think of a recent example and just walk through what you did. Generic descriptions are enough; you should leave out sensitive client information.
- Review its understanding before approving the final documents. The prompt instructs the AI to summarize what it heard and ask what it misunderstood, missed, or oversimplified. Correct it if something is wrong because the output is only useful if it reflects your reality.
My favorite tip: use voice mode. If your AI assistant supports it, paste the prompt first, then switch to live/interactive voice mode (ChatGPT, Claude, and Gemini support it. ChatGPT and Gemini’s are the most natural feeling). Talking through your work can feel much more natural than typing every detail. For some reason though, we humans feel odd when using voice mode. It does take a minute to get used to it, but I promise, fight through the discomfort. After a couple of minutes, it will feel as natural as talking to your neighbor.
Also, don’t worry about pauses, umms, and ahs. The AI does a great job of navigating through your mumbling.
When you finish, you’ll have a written process summary and a flowchart showing how the work moves from beginning to end. Save both of these outputs somewhere you can find them again.
Use what you’ve learned.
The mapper is deliberately instructed to document your process before suggesting improvements because understanding the current process is the first step to improving it and you don’t want to distract the AI from its mission of understanding your current state.
Once done, read through the results and ask yourself:
- Where does work stall or depend on my memory?
- Where am I repeating work or searching for information?
- Is there a missing step, unclear responsibility, or undefined finish?
Then choose one useful improvement. Perhaps every new inquiry needs a recorded next action. Perhaps your post-trip check-in needs a reliable reminder. Perhaps a reusable checklist would save you from reconstructing the same steps each time.
Once you’ve decided on one change, put it into practice, watch what happens, and update your process document. You can also give the saved summary and flowchart to your AI assistant in a separate conversation to explore improvement opportunities.
